Know your priorities
The key to making the most of your time is to identify what matters most and invest your time accordingly. The first step in this process is to figure out what is genuinely important and urgent, what is unimportant but urgent, and what is neither important nor urgent.
Your highest priority items are those that are both important and urgent. Your lowest priority items are those that aren’t important or urgent (e.g., responding to every Facebook notification or reading every article sent your way).
In between the high-priority and low-priority items are tasks that could be either a high or a low priority, depending on where you decide they fall: They are not truly important but they do have an urgency attached to them (such as answering emails from people who have no problem waiting for an answer).
These middle-priority activities will waste your time if you allow yourself to spend too much time doing them because it’s easy to convince yourself that since they’re not really all that important they won’t take very long. In reality though, these tasks can quickly eat up large chunks of your day if you don’t keep them in check by having a system for handling them efficiently.
Let tech do the work for you
There are many small businesses out there that fit well into the “very busy” category. Whether it’s because they’re a single person or because your business is in an industry with high startup costs, time management is crucial when you’re running a small business. First, you have to remember that you can use many tools to help make running your business easier and more efficient.
One of the best ways to save time while managing your day-to-day tasks is to use the services provided through software (such as Xero) and online tools (like Salesforce). Automated functions can do all the work for you: paying bills, creating invoices, messaging customers about problems and updates—anything that would take forever by hand.
Of course manual processes must be used in every business, but even small businesses can benefit from automated processes whenever possible.
Work from a list of priorities
The task that needs doing may not be the one that’s most urgent. Your job requires you to determine which is more important: compiling a report on your marketing campaign or putting out a fire with an important client? To make sure you’re focused, consider making a daily to-do list that includes only those tasks that are both important and urgent.
You can also include time estimates for each item so you know how long it might take you to complete it. Then, get cracking from the top down. Don’t move onto the next task until the one you’re currently working on is complete—and don’t forget to strike off finished items from your list!

Take time for yourself
We all understand that running a small business is extremely demanding, and if you get to the point where you are feeling burnt out, your productivity will suffer. Therefore, it’s extremely important to take time for yourself. Even if it’s just an hour in the morning or evening when you can do something that relaxes you like reading a book or playing with your children — whatever helps you rest and recharge.
You might think that taking time away from work is counterproductive, but it’s actually the opposite. Simply put: time off makes us more productive in the long run! It helps us recharge our batteries so we can come back to work more energized and focused than ever before.
So make sure to take time for yourself each day. The chores can wait. Your family will understand if you’re running late because of work (or so I’ve heard). But when push comes to shove, no one is going to be happy if they find out their dad/mom/husband/wife didn’t make it home because they had a heart attack while working on a client presentation in their cubicle office at home. So please make sure to take care of yourself!
Small business owners can save time and get more done by being more productive.
